What data we collect

When you use our service we collect:

• Your email address
• The name and postal address of the person you are sending a letter to
• Your name (as you wish to sign off the letter)
• The content of your voice recording and the resulting letter text
• Payment information (processed securely by Stripe — we never see your card details)

How we use your data

• To process your order and print and post your letter
• To send you order confirmation and posting notification emails
• To provide customer service if needed

How long we keep your data

We believe in keeping your data only as long as necessary. Once your letter has been posted and marked as fulfilled:

• Your letter content, recipient name and address are permanently deleted from our system
• Your email address is retained for up to 12 months for customer service purposes, then deleted
• Payment records are retained by Stripe in accordance with their own privacy policy

Who we share your data with

We use the following trusted third party services to operate our business:

• Stripe — payment processing (stripe.com/privacy)
• OpenAI — voice transcription via Whisper API (openai.com/privacy)
• SendGrid (Twilio) — sending confirmation emails (twilio.com/legal/privacy)

We do not sell your data to any third party, ever.

Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to processing of your data
• Lodge a complaint with the ICO (ico.org.uk)
